3 things you might not realize about landing clients as a Virtual Assistant or Service Provider! ✨

👉 1. Landing pages - do you need them to start? No but if you create a simple landing page with a button that allows your prospect to quickly overview your services and then take the next step of booking a call you will stand out and have better opportunities when replying to job posts. When someone is looking for an assistant they don’t have time to DM a million people, I promise this is a game changer.

Canva is a great place to create a FREE landing page!

👉 2. Facebook Jobopps - do you ever land on a job opp you would be PERFECT for but you feel to late because their are already 100’s of comments? Comment anyways!

✅ you might stand out to the potential

✅ now your going to show up when someone searches that group in the future for the same thing!

✅ chances are that prospect is not the ONLY one looking for the service, most of my leads come from comments I leave on someone else post - you never know who is watch 👀

👉 3. Consistency - choose a few groups and show up consistently for 30 days. This is how you get your name out there and create buzz around your brand. Once you start rolling clients in, they start referring, and you get busy - you will never look back 🙂

Launch your agency in 90 days!

The #1 concern people have about expanding their team is hiring.

❓How do I find people I know who will represent my brand with the same work ethic and integrity❓

Belief: I need to find someone whose brain works like mine works.

💣 Truth: You need someone who shares your vision.

Belief: How can I find sub-contractors who know what I know

💣Truth: You need someone open, trainable, with a solid work ethic and basic knowledge more then you need someone who is just like you!

Belief: When I hire the right person they will work with my systems and pick up on things with little support.

💣Truth: bringing on team members takes time..

Ok I don’t know if anyone believes it’s that simple but the truth is to really shape a relationship with a team member or VA you have to do quite a bit of onboarding the 90 day point is probably a realistic target.

➡️ This is when:

🎉 You will have a solid workflow

🎉 Your tonalities will match.

🎉 They will start doing tasks confidently and creating more efficient workflows

🎉 They will feel like an extension to you and you will feel the freedom from your what they are responsible for handling.

I know we often get caught up in “this is how I do it” It’s more important to help them understand why you do what you do, what your looking to accomplish, and the thought process behind it.

You are the LEADER and this is key. 🔑

If you are building an agency, a team, or maybe even a entrepreneur looking to bring on your first VA know that it’s possible to truly find that

And although yes, it might be a headache😬🤯 to offload work at first and it might be hard to let go of control l the relief you will feel in 6 months when your no longer spending 3-4 hours a week thinking about or doing these tasks will be so WORTH IT!

How do you manage NEW clients unrealistic expectations around the turnaround time for a project..

This isn't necessarily a client issue - this is an onboarding issue. ..

So let's talk about new client onboarding!

Checklist:

🌟. Did you discuss your onboarding process with the client prior to the contract/payment?

- This is a key element at the end of my discovery calls I outline exactly what happens after they pay their invoice and when to expect to begin - The first step is an onboarding call or collecting all of the assets once that's complete we are on day 1. This helps them to understand what happens after payment.

🌟 Do you work off a priority list?

- communication is a funny thing, and perception is reality. Have you ever started working on something to find out that a client needed a different piece of the project and it is urgent?

Including a priority list in all of your projects when sending your welcome letter is a great way to identify where the client wants to start. Oftentimes on the kickoff/discovery call you to discuss ALL OF THE THINGS and it's not very clear where to start!

🌟 How are you updating clients as you make progress?

I recently received the BEST advice on this and it's been a game-changer for my clients. At the beginning of the week, I let each client know what we are working on and what we need from them. Then on Friday, we send them what was done that week and what we still need. This way they are clear week to week on what's being accomplished.

🌟 At the beginning of each week I do a client-by-client outline of what needs to be done. I order it based on deadlines and project expectations.

- Important for each task completed 100% do not skip around taking each task one step at a client and seeing it through is more valuable than time blocking. If you find your spending the entire day on one client then break their project into smaller phases so you can see it through.

🌟 Finally DELEGATE FIRST. If you are leveraging a team and some of the tasks will be outsourced take the time to delegate first.

These are just some of the steps that have helped me stay sane and scale quickly!

Some days, or until I find the right launch manager my role as CEO is intense project management lol

Today:

- meeting with a creative agency for some collab work 🎉

- answered a list of emails

- proj management/implementation for a podcast launch

- 10 am pick up Andre because no school Wednesdays 💁🏻‍♀️whyyyyyyy…

- launch planning

- dove into the project management of an upcoming launch we’re building the backend of even loaded the free course myself and organized the opt in copy so I could get it to my amazing copywriter (ahem April Williams) for a last minute revive before she took flight (so grateful for such dedicated and giving VAs!) planned out the launch and did a final review on the sales page 🎉

- we are setting up for a webinar launch next week so double checked all the backend was complete and set up all workflow emails with a work around because - tech 🤦🏻‍♀️

- managed to get in a mile walk with friends and Andre because

- picked up the disaster that was my office after said day with 5 year old

Ate lunch in between

Moved several projects forward! One thing i have focused on is phasing projects and making sure all of the little things are done!

I get so many questions from people on how to hire, what it means to run an agency, how to manage it all 👉👉👉👉 the key is, at least in the beginning to recognize you will have your hand in all the things at first and as you grow!

So thought I would share my day.

Also picture number three looks like I’m not the only one with a big day 🤣

Last week I responded to a post of a new Virtual Assistant who was struggling to use the "typical" process of finding a niche.

She wanted something she enjoyed, could excel at, and make the money she desired too...

I remember feeling the same way when I was getting started..

FUN FACT: I was a VA for realtors when I got started (very different from the 6 figure tech agency I run now)

So much can happen on this journey.. so just know.. you can always pivot!

If you are struggling to find the right niche... this approach might work for you!

Instead of looking for a "type" of business I have a different niche technique..

🔥 Decide how many hours you want to work.

🔥 Decide the income you want to make.

🔥 Determine what level you can start: beginning, intermediate, advanced.

🔥 Where do you want to look for clients?

For example if you are wanting to make 5k + and can only work 20 hours a week chances are admin isn't going to get you there VS if you were targeting like 2k... which would be totally doable.

So consider what type of work you will need to do to support that income level.

like social media, tech, email marketing, sales, lead gen, ect..

Then consider your platform - if you love facebook then tech or project management might be your bread and butter

OR

🧐 Maybe you love lead generation and Instagram so you might want to focus on a social media.. or sales!

this is just a small example in a pool of possibilities of how you can start to find the right niche to support your dream life...

I’m feeling the balance and am SO SO grateful for it!

If your currently or looking to expand to a team or agency here are three things I have learned!

1. Create clear expectations around project times for yourself, your client, and your team member.

2. Have weekly communication where you describe progress what’s been done, what your working on, and what’s next

3. Sometimes, you need to walk away and do personal stuff. Coming back to projects recharged or at a different planned time is usually the answer!

Tips for scaling to 5k months as a Virtual Assistant!

⭐️ Pick a high end niche - launch services, tech VA, obm, event coordinator

⭐️ if you are starting out as admin - work with 6-7 figure coaches who can afford to expand your role and give raises as you grow

⭐️ try to expand and grow your knowledge on up and coming systems and tools using free trial, google, and even offer beta prices to clients to get familiar with them

⭐️partner with an agency

⭐️inform your current clients of different skills and services you offer as you grow so they know all you can offer
