Space Occupancy: The Sapphire Publications Book Fair is produced by Sapphire Publications LLC and owned by Author Saulette Davis, a Louisville registered for profit organization in the state of Kentucky. The Book Fair will be held in/outdoors at Impressions Venue located at 737 South 3rd St, #200 Louisville, KY, 40202 on Saturday, August 5, 2023, 10:00 a.m. to 6:00p.m. Upon entrance to the event, please bring a copy of your registration letter for confirmation. Please read the application in full and make payment in full to obtain your placement. Your payment acknowledges your agreement with all terms, conditions, rules and regulations. *A portion of the proceeds will go to the literacy foundation.
Vendor Fees- Early Registration: February 10, 2023 to April 7, 2023. Deadline must be paid in full and postmarked by April 7, 2023. Rates increase on April 8, 2023. No cancellations beyond June 30, 2023. If you cancel before June 30, 2023 there will be a $100.00 charge. Placement comes with 1 6’x 30’ table and two chairs. Writing workshops- no refunds.

The book fair will not be responsible for your equipment, merchandise, supplies, marketing displays, products, or any other property you bring onto the property or outside of the property.
Price increase: April 8, 2023 to June 30, 2023 $25.00 will increase to $50.00, $30.00 will increase to $60.00, $50.00 will increase to $100.00, $65.00 will increase to $130.00.
Liability: Sapphire Publications Book Fair, shall not be liable for any injury to any person or damage to or destruction of an exhibit, product, merchandise, theft, or disappearance from any display or any property contained in or about the exhibit area. Please do not leave your child(ren) unattended! All children must be accompanied by an adult at all times while on the premises and on the rooftop.
Renter agrees to indemnify, defend and hold Sapphire Publications, Sapphire Publications Events, Impressions Events and Impressions Venue LLC, its landlord, building owners, officers, employees, and agents harmless of and from any liabilities, costs, penalties, or expenses arising out of and/or resulting from the rental and use of the premises, including but not limited to, the personal guarantee of provision, service, and dispensing of payment by renter, its employees, and agents of alcoholic beverages at Impressions Events, Sapphire Publications Events, and Impressions Venue, LLC.
In the city of Louisville, KY, Sapphire Publications, Impressions Venue LLC, Impressions Events, landlords, building owners, officers, employees, and agents shall not be liable for any injury or damage to any person and their invited guests or to any property at any time on said premises Sapphire Publications, Impressions Venue, LLC or Impressions Events from any cause whatsoever that may at any time exist from the use or condition of said premises or building, or from ice

thereon, or from water, rain, or snow which may leak into, issue or flow from any part of the building, or from pipes or plumbing, of the same, or from any other place or quarter, or from any
other cause, during rental period. In the City of Louisville, KY and Impressions Venue, LLC is further indemnified from the renter for any damages to the city or management due to the actions of the renter or his/her guests.
Rules of Engagement: (Interpretation) of all rules and regulations is the sole discretion of Sapphire Publications and if any violation of any rule is broken, it will result in the forfeiture of your space without refund. Vendors and participants will waive any right to recourse. There is absolutely no drug use or smoking of any kind tolerated on premises or within 25 feet of the building. Disparaging remarks or any type of physical violence will not be tolerated and will be cause for immediate expulsion. Renter and guests shall use the premises in a considerate manner at all times. Conduct deemed disorderly at the sole discretion of Sapphire Publications and Impressions Events or Impressions Venue LLC team members or management shall be grounds for immediate expulsion from the premises and conclusion of the rental period. In such cases refunds of the event costs will not be available.
Vendor placement: you may choose an indoor space or an outdoor space. It comes with 1 6’x30’ table and two chairs. Your merchandise must stay in the parameters of your assigned space. Make sure your space is clean, neat, and professional. Bring your own fabric to dress your tables and make sure you have enough change for your customers: Sapphire Publications book fair will not dispense or exchange monetary funds.
Spotlight: Authors can hit the main stage and read from their works and invite guests to their booth.
Advertising: A one-half page color ad. Please provide your QR CODE, or website address.

(Limited Seating).
Security: will be enforced to patrol the grounds at the duration of the event. Please be vigilant, stay alert and follow protocol.
Loading/Unloading/Set-up: All set-ups must be completed by 9:30 am on Saturday. Merchandise must be dropped off in the drop off zone and placed on a dolly to bring through the iron black side gate up to their booths.
Parking: Parking for any event will be in the designated parking areas of the business. At no time will any vehicle be parked on any grassy area or any unauthorized areas. Any vehicles of the group parked on or near the premises, together with the contents thereof, shall be parked at

the risk of the group Sapphire Publications and Impressions Venue LLC shall not be responsible or liable to the individual or group for loss or damage to said vehicle or its contents.
Break-Down: Please make sure all trash, displays, and all property is removed from the booth space. If the Book Fair has to clean your space, you will be charged a $100.00 fee on future registrations.
