Role Purpose and Description

This is a fantastic opportunity for a highly organised, trustworthy and efficient assistant to support a leading producer at a busy Film and TV production company.

This position will manage key elements of the producer’s life, as well as a very busy travel schedule. The role is largely administrative but offers amazing insight if you want to be on a path to being a successful producer and / or running your own business.

Excellent calendar management and meticulous attention to detail is expected as the diary and travel requirements are ever changing. An interest in/knowledge of the film industry is required. It is key that the new assistant has the ability to juggle numerous and varied duties in a busy and demanding environment. The ideal candidate will be professional yet personable, solution-focused, a natural problem solver, and above all, able to remain calm in stressful situations, while always maintaining a high level of discretion.

Specific responsibilities include, but are not restricted to:

• Management of the producer’s complex travel calendar; booking and organizing comprehensive itineraries

• Administration of business expenses, finances, and investment/property/art portfolios, including the collation and
filing of all their corresponding paperwork for accounting and record keeping purposes

• Correspondence management, including letters, bills, cards, and invitations

• Coordination of restaurant bookings, purchasing theatre tickets, memberships, and personal appointments

• Sourcing and purchasing of gifts for all occasions, as well as arranging couriers and international deliveries

• Maintaining an extensive database of confidential information

• Assisting with the organisation of company celebrations, dinners, film premieres and birthdays

• Developing and managing systems that help the office run smoothly including filing, inventories, and detailed
records

We are looking for an exceptional and experienced Executive Assistant to work in-house at a busy London-based Film & TV Production Company providing business, production and private support to the Company Director and Producer.

A pivotal position in an office made up of a core team of 9+; the candidate will offer general EA support across productions, all aspects of the company business and personal affairs. They will manage a busy and ever-changing diary, look after all travel requirements as well as overseeing the smooth running of the office.

The right candidate will be highly motivated, confident and a good team player with excellent multi-tasking skills and people skills. They will be hard-working, a self-starter, thorough, with excellent attention to detail. They will have a good knowledge of the Film & TV industry. Experience in some capacity on productions and / or knowledge of production agreements and Business Affairs would be highly desirable.

The job is not suited to someone who wants to work solely on productions as this is an office-
based job and requires someone happy to work from the office 5 days a week.

Excellent written communication with strong spelling, grammar and punctuation is essential and ideally some proof-reading experience.

THE ROLE:

- Providing general administration support in all professional capacities to two extremely active agents with an ever-expanding roster of high-profile clients and emerging talent
