Hi all, here is our visioncast comittee highlights, thanks to stacey for putting this into action!!!
Hello everybody,

We had our first monthly committee meeting for visionCast. Please note, the visionCast shows are welcome to anyone, but the monthly committee meetings are strictly for the visioncast committee. That way, the committee can get together and vote on what is needed. After each meeting, there will be an agenda that will be accessible for all visioncast team members and guests who aren’t on the committee, or those on the committee who might not be able to attend a meeting. Here is the outline of what was discussed in this month’s committee meeting.

VisionCast Committee Meeting

I. Establishing the VisionCast Committee
A. Stacey will create a dedicated WhatsApp group and mailing list specifically for the visionCast committee. This way, only committee members will be invited to committee meetings, and other people don’t join by accident.
B. Committee members:
1. Preston
2. Denny
3. Denise
4. Haylie
5. George
6. Chris
7. Phillip
8. Stacey
9. Nora

II. Moderators for Shows
A. Three people per show will moderate
B. Main meeting mods:
1. Stacey
2. Denny
3. Denise
C. Alternate moderators:
1. George
2. Preston
3. Haylie

III. Addressing People Cutting Each Other Off
A. Solutions discussed:
1. Meeting mods will address cut-offs
2. Everyone deserves to be heard without interruptions, so try to listen for pauses between people speaking.
3. Stay muted in noisy environments
B. Consequences for cutting someone off:
1. First offense: warning
2. Second offense: indefinite mute by a meeting mod
3. Third offense: 2-week suspension. Temporary removal from email and WhatsApp during suspension
4. If the person continues after suspension, kicked from the show and suspended for a month
5. If continued cut-offs after a month, permanently removed from the show
C. In most cases, each show will be a clean slate for everybody, except for a person who gets suspended. If person gets suspended, and continues acting up, see above for consequences.

IV. Preventing Accidental Cut-Offs
A. Listen for pauses before speaking
B. Mute in noisy environments
C. Implement the raise hand format for interviews to prevent interruptions
D. One meeting mod will check raised hands and call upon each person in turn
E. Everyone must stay muted until called upon
F. If someone speaks before they are called upon by a meeting mod, it will be treated as a cut off, and will be dealt with accordingly.

V. Adjusting Showcase Heaven Show Duration
A. Show will be extended to 3 hours from 2 hours
B. Showcase Heaven will now be from 2 to 5 PM Eastern
C. Segment breakdown:
1. First 30 minutes: intros and announcements
2. 1.5 hours for performances
3. 45 minutes for randomness
4. Last 15 minutes for shoutouts

VI. VC Lounge Show Format
A. Normal VC Lounge episodes:
1. 1st 15 minutes for intros
2. Last 15 minutes for shoutouts
3. Rest of the show can be flexible
B. VC Lounge episodes with interviews:
1. 5 minutes max for intros
2. 5 minutes at the end for shoutouts

VII. Accommodating Birthday Parties
A. If a person's birthday falls on a Showcase Heaven day:
1. If they would rather hang out than perform:
2. Convert a VC Lounge episode to a showcase for that week
B. Example:
1. Instead of a VC Lounge episode on October 25th, have a Showcase Heaven episode to celebrate November 1st birthday

That is the outline for what was discussed. If anyone has any questions, feel free to reach out to me, or one of the members on the VisionCast Committee. The next agenda outline will be sent out October 5th, after the second committee meeting. Thanks again.
