Job Summary:
The Office Administrator will be responsible for overseeing the daily administrative operations of the office. The incumbent will ensure that the office runs smoothly and efficiently, providing support to staff and visitors alike.
Key Responsibilities:
✅Overseeing general office operations.
✅Manage office supplies and inventory, including ordering, receiving, stocking, and distributing supplies.
✅Answer phone calls, take messages, and direct calls to appropriate staff members.
✅Respond to inquiries from staff, clients, and vendors in a timely and professional manner.
✅Assist with scheduling appointments and meetings, as well as coordinating travel arrangements.
✅Prepare and distribute correspondence, reports, and other documents as required.
✅Maintain office records, including filing, record-keeping, and database management.
✅Coordinating appointments and meetings and managing staff calendars and schedules.
✅Coordinate and oversee the maintenance and repair of office equipment.
✅Assist with financial tasks, including processing invoices, tracking expenses, and preparing reports.
✅Manage office facilities, including coordinating with building management and maintenance staff.
✅Support other staff members with administrative tasks as needed.
Qualifications:
✅Education: A bachelor's degree in business administration, management, or a related field may be preferred.
✅Experience: Typically, a minimum of 3-5 years of experience in an administrative role is required, with at least 2 years in a management or supervisory capacity.
✅Leadership skills: Must possess strong leadership and management skills to oversee and lead a team of administrative staff effectively.
✅Communication skills: Excellent written and verbal communication skills are necessary to communicate with staff, clients, and stakeholders.
✅Time management and organization: The ability to prioritize and manage multiple tasks, projects, and deadlines is critical.
✅Financial management: Must have experience with budgeting, expense tracking, and financial reporting.
✅Technical skills: Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint, and familiarity with various office software, such as project management and accounting software.
Interpersonal skills: The ability to establish and maintain positive relationships with staff, clients, and stakeholders is crucial.
✅Problem-solving: Must have excellent problem-solving skills to identify and resolve complex administrative issues.
✅Adaptability: Must be adaptable and able to work in a fast-paced, dynamic environment, with the ability to pivot and adjust plans and strategies as needed.
