7 Important Tips on How To Write A Professional Email

Learning to write a professional email and create client proposals is a skill every freelancer must master from the start.

Let's check out a few tips, shall we?

1. Start By Learning Basic English
You can’t write an email if you have poor writing skills.

If you have poor English writing skills, that’s okay. It’s nothing to be embarrassed about.
Even some oyinbo people are terrible at writing emails😏

However, It's not an excuse. You can learn to improve your professional email writing skills from our Virtual assistant course.

2. Address Clients By Their Name
In Nigeria, we are used to addressing our employers with respectful terms like “sir” or “madam”. This doesn’t apply to freelancers.

As a Freelancer, you are an independent contractor. You should be treated as equal to your client. It doesn’t matter if your client is Joe Biden, you don’t have to call him “Sir”.

In fact, most clients and employers in western countries prefer not to be called by their first name instead of “sir” or “madam”.

3. Sum Up Your Email In The First Sentence
Clients are busy people. Chances are they have an inbox filled with 500 emails to go through.

So why not make it easier for them to read your email and make their decision? e.g.

_“I’m a freelance writer with 6+ years of experience, writing this email to apply for your copywriting position”_

4. Explain Your Message With Simple Words
Writing an email to a client is often considered a formal letter.

So because you scored A1 in English in WAEC, you decided to make it too formal by using big dictionary words. _Nobody send you._

However, don’t make your emails too casual. Just be normal.

5. Remember To Use Closing Remarks
When ending your email end it with a closing remark. This last sentence can greatly help you to get a response from your clients and avoid having to wait days for a reply.

For example, you can add a closing remark like “please let me know what you think” or “I’d greatly appreciate it if you could send me a reply in the next 7 days”

This not only adds more character and class to your email or proposal but also encourages the client to take action as well.

6. Double Check Your Email For Errors
Once your email copy is ready, read it once to see if there are any spelling errors. Read it again to get rid of any unnecessary terms and words. Read it once more, just to make sure it’s flawless.

It only takes a small grammatical error for the clients to dismiss you as an amateur😏

There are several tools online you can use to easily check for grammar and spelling errors.

7. Finally, Be Human!
Sometimes, the best way to show true interest in a job or to connect with a client is to step out of your “professional zone” and just be human in your emails.

For example, closing an email by wishing the client to “have a great day” will go a long way to show the client there’s a human being at the other end.

There’s no hardest job on earth asides being a freelancer and a mother, in my own case I have to attend to my six months old baby while meeting a clients deadline of drafting email copies needed for a campaign, there is no other way of juggling these two jobs other than having a help, and when you have none, you could ask a friend to kindly come watch your child while you work.
People seriously think working from home means you have ample time to do so many things and make two pots of soups, lol.
A great amount of concentration and focus is actually needed if you work from home, it’s a really dicy thing.
Here are the things I do everyday as I take care of my 6 months old baby while I work

1. I get a help it’s totally not possible to work and care for your children at the same time, I sometimes have someone to help or I ask a friend to come over and come help me.
2. Communicate with your client, sometimes When I feel I may not meet up with the given deadline I communicate, via emails, anywhere, it’s very important.
3. I search for jobs, I don’t wait for jobs to come, I search for them myself. Recently a $350 dollar copywriting job came handy because I made sure I put myself out there to get the job.
4. I pray every day, I am not trying to shove God down your throat but if you put out what you want to God, the universe or what ever force you believe in, you’d surely get it.
